Project Import

Your projects from the spreadsheet into GLPI, without retyping

Project Import brings into the GLPI Projects module the projects and tasks your team tracks in an Excel spreadsheet. A 4-step wizard validates the file, shows field by field what will be created, updated or left unchanged, and only saves after you confirm. Re-importing the updated spreadsheet is the everyday use: the module recognizes what already exists and changes only what changed. It works on GLPI 11 and GLPI 12.

Features

Manual edits made in GLPI since the last import are never lost without notice: the field is highlighted, and you decide item by item whether to update it from the spreadsheet or keep it as it is in GLPI. A project or task that disappeared from the spreadsheet is only reported, never deleted. Everything is saved in a single transaction, checked before writing: if anything fails, nothing is saved. The module also stops the import when the Status column arrives empty or with a sharp drop compared with the last load, a sign of a spreadsheet saved without recalculating formulas such as TODAY(), warns when the target entity looks wrong and asks you to confirm the order of tasks with the same name in the same project.

Mappings are kept from one import to the next: the manager's name in the spreadsheet and the GLPI user, with suggestions and a choice when the name fits more than one user; the spreadsheet status and the project state (and the task percentage); the area, the group and the project type, with the option to create missing groups and types. Each run stays in the history with the spreadsheet used and a JSON backup of what was created and the previous values of what changed. To get started, download the template spreadsheet, with the expected header, sample rows and an instructions tab.

How it works

Step 1

Upload the spreadsheet

In the Import tab, upload the Excel file (.xlsx; .csv is also accepted). The first time, download the template spreadsheet to follow the expected header. Nothing is saved in GLPI at this step.

Step 2

Validate and choose the target

Check the spreadsheet statistics, the recognized columns, the rows discarded for having no name and the comparison with the last import, and choose the target entity.

Step 3

Review the preview

See what will be created, updated or left unchanged, with the field-by-field difference and filters by status. For each item, choose to update from the spreadsheet or keep it as it is in GLPI.

Step 4

Apply and follow up

The import is saved all at once. The report shows the result and what GLPI adjusted in the dates, and the spreadsheet used and the backup stay in the run history.

Frequently asked questions

The spreadsheet needs the columns the module recognizes, such as the row type (project, stage or milestone), the name, the area, the manager, the status and the planned and actual dates. The Download template spreadsheet button provides the expected header, sample rows and an instructions tab. Extra columns, such as a monthly timeline, are ignored.

No. The module recognizes a project by its name within the target entity and a task by its name within the project, and changes only what changed. A project or task that disappeared from the spreadsheet appears in the report and is never deleted. Renaming a project in the spreadsheet creates a new project, and the preview shows this before saving.

A field changed in GLPI after the last import is highlighted in the preview, with the date and author of the change. You decide item by item whether to update it from the spreadsheet or keep it as it is in GLPI, and in the settings you choose which of the two options comes selected.

There is no undo button. Each import generates a JSON backup with what was created and the previous values of what changed, and support uses it to revert by hand if needed. Before saving, the preview shows everything that will change.

No. The module is for GLPI 11 and GLPI 12 and requires the NexTool plugin 6.35.0 or later.

The license is valid for 12 months and is renewed each period. From the second year on, the renewal costs 50% of the original purchase price. While the license is active, you get support, updates and follow-up.
